Pendragon Academy Policies

For production policies associated with the Nutcracker and our Spring Recital, please see those specific cast member contracts available at sign-up.

Facility Policies

We are here to help you! If you still have questions after reading our policies below, please feel free to contact us via email (recommended) or by phone ANY TIME. We love our students, and want you to feel comfortable at Pendragon!

TUITION

Tuition is payable in one flat, school-year rate (which covers mid-August to mid-June), or you may elect to pay in 11 equal installments via auto-draft to your visa or mastercard. You can circumvent any auto-draft event by paying one week prior to the 1st with another method of payment; however, our rates are less with auto-draft. The installments are due no matter how many classes your child actually attends in one month. Please keep in mind that this is not a monthly "rate", it is an installment plan based off a yearly rate. We do not prorate for shorter months or holidays.

Due to the extreme competitive nature of our business, we do not publish our rates on our website or over the phone. If you would like to learn about our rates, please come in to visit our facility and we will be happy to show you why our school is an excellent value for your money!

RECITAL

We have two major performances each year, the Nutcracker, and our Spring Concert. Each show is inclusive and fun for all ages and levels. We look forward to your involvement in our next show! For information regarding fees and due dates, please pick up a performance packet at our front desk.

Children do not have to be enrolled at our school to perform in the Nutcracker. It is an open and inviting production. We do require each cast member to be in at least one regular, weekly dance class (with us or another reputable academy). For more info about the Nutcracker, check out our seasonal links from our front page (available July through December).

We love putting on a show! You'll see where we really stand apart from our competitors when it comes to our elaborate productions! Each show is performed at a professional auditorium, (usually a newer performing arts venue). We use props, sound and lighting effects, and awesome costumes! You will not be disappointed with our professionally run shows. Our staff has many years of experience producing such productions, and it is our passion to present these performances to your family every year! We begin planning many months in advance (close to a year ahead of schedule) in order to make sure your child has the best experience possible. See you at our next show!

FACILITY

Please enjoy our family waiting room located in the center of our facility. Here you will find a playroom, TV/DVD player, water fountain, and a visitor restroom.

We have observation windows for each dance studio, which have adjustable blinds. Students learn better in a quiet, dedicated classroom environment. We understand your love for your child, and of course you want to watch the class! Sometimes the busy hallways cause a distraction to the students, so we may close the blinds temporarily if we feel it is beneficial to the class. We appreciate your support, and will open the blinds or even invite you in from time-to-time so you can watch your child's progression.

Parents may not enter the classroom during class except in the case of an emergency. Please, allow our staff to professionally and kindly discipline your children while they are in our classes by teaching children the value of focus and determination (crucial elements to the learning process).

Please pick up after your child in the playroom and hallways after each class.

Customers who wish to use our complimentary Wi-Fi access will be given a connection code upon request. This free access code is for current customers and enrolled students.

It is our mission to provide a safe, fun, and enjoyable experience for both our students and our staff; therefore, gossip/slander will not be tolerated. Aggressive behavior toward staff and fellow students/parents is also not allowed. Students or parents who are found to be a source of gossip, slander, or other threatening behavior will be required to leave and dropped from enrollment.

Dressing rooms are provided for all enrolled students to get dressed privately without having to hold up the restrooms. They may not be used for sibling's naps, horseplay, or eating. The doors shall remain closed at all times to protect the privacy of students. Siblings and parents of the opposite gender must remain outside of the dressing rooms. Pendragon Academy is not responsible for any lost or stolen items.

Horseplay, running, and yelling is not allowed inside our facilities. Please keep waiting children quiet and calm in the hallways.

Safety is of the utmost concern. We are not certified nor able to provide day-care services; therefore, Pendragon Academy is not responsible for children outside of class. Students may not be dropped off earlier than 15 minutes before class, nor picked up more than 15 minutes late. Please always wait for your child to enter the building before driving off in case of the rare but possible event that there is a class cancellation or unexpected facility closure. Students under 6 years of age should not be left unattended under any circumstance.

Students should wear cover-ups and shoes to and from classes.

Children should memorize their emergency contact numbers or carry them in their dance bags.

All students must have a current waiver form on file that releases Pendragon Academy from all liabilities resulting from any injuries sustained while at our facilities. Students may not participate in classes until the form is signed by a legal guardian.

Please inform us in writing of any medical concerns your child has (and if any should arise) so that we may help you monitor your child's well-being.

Classes are opened at a minimum of 5 students. Open classes that drop below 4 students at any time after registration will be cancelled, rescheduled, or consolidated at the director's discretion. The director is the only staff member that will make this decision.

In the event that a class is cancelled, the parents will be notified by email or phone call by the director or an official staff member acting as the director's representative.

Communication Policy

We enjoy a harmonious and peaceful environment at Pendragon Academy. In efforts to maintain our family-like setting, we require that you treat all staff members and other families with patience and kindness. We reserve the right to refuse service or continuation of classes to any account holder under any circumstance that we feel is threatening to our business and/ or our well-being.

Communication is vital to running our services. We care about our customers and their feedback. We have many students, so it is impossible to call each one personally when there is news regarding the facility. We rely on email and e-newsletter services to stay in contact with our patrons. You may also receive paper handouts from time to time; although, not for every situation. We have an online calendar that is up to date on all events, facility closures, meetings, etc.

In the event that you are dissatisfied for any reason, please try to resolve minor issues with your instructor first, and give him/her the opportunity to find a good solution. If at any time you feel you need to speak with our director, you may email her directly at Laney@pendragonacademy.com.

Email is the most efficient method of contact for our instructors, as they do not hold office hours for consultations. We will respond to your email within 48 hours (except during scheduled breaks when the business is closed). Our front desk staff is also happy to assist you in person or over the phone during business hours with any account-related issues, registration, retail purchases, and minor emergencies.

Attendance Policy

As with any educational platform, performing arts requires regular attendance to progress at a reasonable pace. Absences create challenges for the student who is absent and also cause disruption to classmates. You will receive a better value for your tuition when the student is in regular attendance. Absences may not be made-up, as this is a distraction to other classes and teachers. Absences can be credited to your account if there is a documented emergency lasting more than two consecutive weeks.

If a student misses the dress rehearsal for a public performance or competition, he/she will not be allowed to perform. Unfortunately, we cannot make any exception to this policy.

Class Cancellations

There are no make-up classes except in the rare case of an emergency class cancellation due to teacher illness or facility emergency. We do not offer make-up classes for closures due to natural disasters (i.e. hurricane, earthquake, fire, weather-related flood, regional power failure). We do not offer make-up classes for closures related to extreme weather when other local businesses and schools have also closed, and major government holidays. All holiday closures are listed on the academy calendar. We are closed for 2 weeks directly following Nutcracker performances, we are closed for KISD Spring Break , and we are closed for one to two weeks during the summer as scheduled. We will not close for school holidays on Mondays except where noted on the calendar. We will always be open during KISD teacher work-days.

Withdrawal Policy

We must be notified in writing by email or mail in the event that you wish to withdrawal from classes. In order to avoid being charged for additional months, we must receive your notification 14 days prior to the billing cycle (14 days prior to the 1st of the next month). If we do not receive your notification in time, you will be responsible for all charges to your account with those 14 days. We will confirm all requests within 2 business days. If you do not receive a confirmation, we have not received your request.

Payment Policy

We accept VISA, Master Card, personal checks, money orders, and cash. Please have exact change if you pay with cash. Late payments are subject to a $15 late fee that is automatically applied on the 7th of each month on all unpaid accounts. We do not remove late fees. After 30 days of non-payment, the student will be dropped from enrollment. After 60 days, the account balance including late fees will be sent to our collections agency. We resubmit bad checks as well as report fraudulent activity to local authorities and credit bureaus. We highly recommend auto-drafting instead of checks.

You may sign a payment release form for your child to charge payments to your account under a specific dollar amount. The parent controls the limit of charges and the total amount of charge times. Students who have payment release forms on file may purchase vending and retail items without needing cash on hand up to the limit that has been set by the parent.

-Students may not enter the classroom more than 15 minutes late, and they may not leave without the teacher's permission.

-Students/parents are responsible for their own transportation to and from the facility. Pendragon Academy staff may not give rides to students.
